Minimum £80.00 a month, which covers your first 10 clients. Above that it is a flat £8.00 for each client. No VAT — we are not VAT-registered.

What counts as a client? Anyone you are actively caring for. Clients in hospital or on respite still count, because their records stay live in Babiha. People who have been discharged, or who have passed away, are never billed for — even though we keep their records for the eight years you are required to retain them.
Changes take effect on your next bill. We count your clients once a night. Take on a new client mid-month and you will never see a surprise part-month charge.

Is Babiha built for CQC compliance?
Yes. Babiha includes CQC-focused tools — Single Assessment Framework evidence across the five key questions, Provider Information Return generation, statutory notifications under Regulation 18, incident and safeguarding reporting, training and DBS tracking, audits, spot checks, supervisions, complaints and a risk register — so you can evidence quality of care. Compliance remains your agency’s responsibility; Babiha gives you the tools and the audit trail.
Where is our data stored?
In the UK. Babiha runs on AWS in London, which is what NHS England and DHSC guidance on off-shoring expects of a social care provider, and your data is handled in line with UK GDPR. Each agency’s data is isolated by row-level security in the database itself, sensitive fields such as NHS numbers and key safe codes are encrypted, and every action is written to an immutable audit log. Babiha is built in line with the NHS Data Security and Protection Toolkit.
Does the carer app work offline?
Yes. Carers can check in, record medications, tasks and notes with no signal. Everything is encrypted on the device and syncs automatically once they reconnect. The app also locks itself behind a PIN or a fingerprint between visits.
What do families actually see?
Visits, the care plan with a downloadable PDF, medications, wellbeing over time, shared photos, and secure two-way messaging with the care team — but only what the client has consented to share. Both your agency’s sharing settings and the client’s own consent are checked on every screen, and a withdrawn consent always wins.
Can we get our data back out?
Yes, whenever you want it. Export your records as CSV or Excel from inside the platform. There is no export fee and no request to raise.
Is it really free to start?
Yes. You get 30 days free with no credit card — create an account and use the whole platform. Nothing is charged automatically when the trial ends; you choose whether to add a payment method.
How much does Babiha cost?
£8 per client, per month, with a minimum of £80 a month covering your first 10 clients. That is the whole price — the care management platform, eMAR medications, the family portal and the carer mobile app are all included, with unlimited carers and office staff. We are not VAT-registered, so there is no VAT to add.
Which clients am I charged for?

We count your clients once a night, and any change applies to your next monthly invoice, so you never get a surprise part-month charge.
What happens if I stop paying?
You never lose your records. After we have warned you and given you time to update your payment details, the account becomes read-only: you and your team can still open and export every care plan, medication chart and visit record, but you cannot add new entries until billing is set up again. We do not delete anything.
Is the carer app on the App Store?
Not yet — the companion carer app is built and in testing, and is coming soon to iOS and Android. The web platform and the family portal are available today.
